DISTROBOLT ARTIST GUIDES
Keep music licences and permissions usable over time
A usable permission record connects the exact material, authorised use and final release version. Keep evidence of the licence terms that applied, not only a checkout receipt or a link that may change later.
Record the source and agreement version
Save the licence issuer, material identifier, purchase or generation date, transaction reference and applicable terms. Include signatures or approval evidence where relevant. Keep a restricted original copy and a clear working reference. Do not assume a current public web page reproduces the terms of an earlier transaction.
Map scope to intended use
Record the authorised recordings or assets, uses, territories, duration, restrictions, credits and relevant payment obligations. Identify the approving rights party and any unresolved question. A permission limited to one artwork use or one series should not be silently reused for a new campaign or broader product.
Connect the final master and assets
Link each recording or design export to the relevant permission record. Example: a sample licence needs the actual sound reference; a photo permission needs the exact image and agreed context. Recheck the scope when replacing audio, changing artwork or adding a new territory. A file labelled approved is not enough without the approval source.
Maintain access and review reminders
Keep personal information private, use controlled access and retain a traceable revision history. Note relevant expiry or renewal questions for the authorised team. There is no universal retention period established by this guide; obtain appropriate advice for legal, accounting and privacy obligations. This workflow does not activate external monitoring or certify every document’s legal validity.
