Export your fan list with its consent record

A fan-list transfer should preserve the permission record and people’s choices, not only the contact addresses. Confirm the lawful purpose, authorised recipient and supported export before moving personal information.

Define the transfer

Record the source system, responsible sender, intended destination and why the data is needed. Moving tools for the same list is different from sharing addresses with another business for a new purpose. A downloadable file does not itself create permission for either activity.

Include relevant permission evidence

Keep the signup source, time, wording or version, covered purpose and current subscription status where available. Preserve unsubscribe or suppression information appropriately so a migration does not reactivate people by mistake. Mark missing evidence unresolved rather than changing it to consent assumed.

Transfer through a controlled route

Limit the export to necessary fields and authorised access. Do not paste real email addresses into an open assistant conversation or public project folder. Verify the destination’s handling and any applicable contract or privacy obligations. ICO guidance is UK-specific; obtain appropriate review for the actual audience and jurisdiction.

Reconcile before sending

Compare counts and statuses, investigate duplicates and test the receiving tool with an authorised process. A system migration is not a reason to send an unsolicited campaign to everyone. No actual list, contact export or mailing service is accessed here, and no universal portability entitlement is certified.
